About the team

Reporting to the Container Operations Manager, you will join our Container Operations team, a collaborative and fast-paced function responsible for the successful movement of shipments across global supply chains. The team works closely with Traders, suppliers, shipping lines, customers, and internal support functions to ensure products are delivered efficiently and on time.

About the Role

We are looking for a Container Operations Administrator to support the day-to-day administration and coordination of our global container shipments. This role plays a key part in maintaining accurate shipment information, supporting operational planning, managing documentation, and ensuring our customers receive timely updates. You will work closely with the wider Operations team, suppliers, shipping lines, and internal stakeholders to help ensure the smooth execution of shipments from origin through to final destination.

This is a detail-focused role where organisation, communication, and proactive problem-solving are essential to maintaining visibility and control throughout the shipment lifecycle.

Key Responsibilities

  • Maintain accurate shipment and order information within SAP, ensuring all records are up to date and auditable.
  • Input purchase order data, terms of sale, shipment plans, and operational updates into company systems.
  • Monitor shipment plans against outstanding orders, escalating any concerns or delays as appropriate.
  • Support booking arrangements with shipping lines and ensure operational plans remain on track.
  • Work with colleagues to ensure shipments receive the necessary approvals and clearances prior to loading.
  • Chase suppliers for shipping documentation and facilitate the timely release of Bills of Lading.
  • Process supplier invoices and support financial administration activities associated with shipments.
  • Maintain visibility of container movements from shipment through to empty container return at destination and record on SAP
  • Monitor and track Bills of Lading splits during transit where applicable.
  • Produce and distribute weekly shipment and container updates to customers.
  • Prepare operational reports and provide administrative support in accordance with business procedures.
  • Support assigned trading regions and source areas, which are distributed amongst the team and may shift due to seasonality and business requirements.
  • Continually focus on all aspects of risk management; identifying potential issues and supporting effective solutions.
  • Assist with operational projects and continuous improvement initiatives as required.
  • Work with the team in achieving operational KPIs and service standards.

What we're looking for

  • A graduate qualification, in Business or Logistics and Supply Chain Management would be preferred but not essential.
  • Strong organisational and time management skills with the ability to manage multiple priorities.
  • Self motivated, inquisitive and eager to learn are essential.
  • Excellent attention to detail and a high level of accuracy.
  • Proactive and solution-focused approach to work.
  • Strong communication and relationship-building skills.
  • Ability to work collaboratively across teams and with external stakeholders.
  • Confidence working under pressure and adapting to changing priorities.
  • Good geographical awareness and understanding of global supply chains.
  • Numerate with strong IT skills, including Microsoft Office applications.
  • Experience using SAP would be advantageous, but not essential.
  • Knowledge of shipping documentation and container logistics would be beneficial.
  • Awareness and appreciation of working with international customers and suppliers.
