About the team

Reporting to the Export Documentation Manager, you will join the Export Documentation team, a highly experienced and collaborative function that plays a critical role in supporting our global trading operations. The team works closely with Traders, Operations, Finance, shipping lines, banks, and external authorities to ensure shipments move seamlessly from origin to destination.

This is a fast‑paced, detail‑driven environment where accuracy, teamwork, and proactive problem‑solving are essential. 

About the Role

Due to continued growth, we are looking to further strengthen the Export Documentation team by creating this additional role We are looking for an Export Documentation Administrator to support the accurate, compliant, and timely delivery of export documentation across our global shipments.  This role plays a key part in ensuring shipments are released without delay, financial and contractual requirements are met, and our customers receive a high level of service. You will manage documentation across multiple shipments simultaneously, working with internal teams and external partners to resolve issues quickly and effectively.

Key Responsibilities:

  • Ensure accurate and compliant export documentation is produced and released on time, enabling smooth shipment execution and on‑time delivery to customers.
  • Protect the business against financial and compliance risk by ensuring all documentation meets Letters of Credit, credit insurance, and regulatory requirements.
  • Maintain full visibility and control of shipment files, ensuring records are complete and traceable at all times.
  • Act as a key point of coordination between Traders, Operations, Finance, shipping lines, banks, and external authorities to resolve documentation issues efficiently.
  • Support timely release of original documents by managing inspections, certificates, Bills of Lading, and courier dispatch accurately.
  • Contribute to continuous improvement of documentation processes, systems, and controls. 

What we’re looking for

  • A demonstrated understanding of export documentation with solid knowledge of Bills of Lading, Letters of Credit, and Certificates of Origin.
  • Experience with international shipping, customs procedures and trade compliance.
  • Highly detail-oriented and well organised, with the ability to accurately manage high volumes of documentation under tight deadlines.
  • Strong ability to prioritise workload in line with business requirements.
  • Confident reviewing Letters of Credit, invoices, and regulatory documentation to ensure full compliance.
  • Clear and effective communicator, able to work collaboratively with internal teams, banks, shipping lines, and external partners.
  • Proficient in Microsoft Office and logistics or documentation systems; SAP experience is an advantage.
  • 2–4 years’ experience in a similar role; experience with regulated goods (e.g. Tuna, seafood or agricultural products) is desirable.
